Key Responsibilities

  • Project Administration.
  • Support project managers with administrative coordination throughout the project lifecycle.
  • Maintain organized and accurate project files, contracts, purchase records, and correspondence.
  • Track project schedules, action items, and deliverables.
  • Prepare project status reports, summaries, and documentation for internal review.
  • Coordinate meetings, approvals, and communications across teams.
  • Support project closeout activities, including documentation and cost reconciliation.
  • Prepare, process, and track purchase requisitions and purchase orders in accordance with approval and budget controls.
  • Monitor project expenditures against approved budgets and cost forecasts.
  • Track committed costs, actual costs, and variances for materials, services, and labor-related purchases.
  • Assist project managers with budget tracking, cost reporting, and cost-to-complete updates.
  • Review invoices for accuracy, proper coding, and alignment with purchase orders and contracts.
  • Support invoice reconciliation and approval processes in coordination with accounting.
  • Identify potential cost overruns or discrepancies and communicate findings to project leadership.
  • Communicate pricing, scope, delivery timelines, and cost expectations with vendors and suppliers.
  • Support negotiations and change requests by providing pricing and cost documentation.
  • Serve as a liaison between project teams, vendors, and accounting to ensure clear financial communication.
  • Maintain accurate data in project management, purchasing, and financial tracking systems.
  • Develop and update spreadsheets and reports related to costs, purchasing status, and budget performance.
  • Support audits and internal reviews by providing complete and organized cost documentation.


Qualifications:

Required Qualifications

  • High school diploma or equivalent; associate’s or bachelor’s degree preferred.
  • Experience in project administration, purchasing, or cost tracking.
  • Strong attention to detail with high accuracy in financial data.
  • Proficiency in Microsoft Excel (tracking costs, budgets, and reports).
  • Strong organizational and communication skills.
  • Ability to manage multiple priorities in a deadline-driven environment.

Preferred Qualifications

  • Experience with ERP, purchasing, or cost-management systems.
  • Familiarity with cost codes, budgets, and invoice reconciliation.
  • Basic understanding of project controls or accounting principles.
  • Experience in construction, industrial, engineering, or manufacturing environments.
