JOB DESCRIPTION & DUTIES:
The Payroll Administrator/Clerk is responsible for supporting payroll operations by collecting and entering employee data, verifying timesheets, and ensuring accurate and timely processing of payroll. This role requires strong attention to detail, confidentiality, and the ability to work efficiently under deadlines.
- Process agency requests for garnishments (e.g., Social Security, child support, IRS).
- Handle interrogatories and IRS information requests; submit to Payroll Manager for review.
- Complete paperwork and documentation for state unemployment (SUTA) audits.
- Perform annual audit of employee exemptions per Circular E guidelines.
- Adjust Filipino withholding per tax regulations for each paycheck.
- Receive and verify offshore timesheets daily; conduct analytical reviews.
- Ensure corrections and approvals of offshore timesheets by operations before processing.
- Import actual time worked into Great Plains from Alert/Fieldpoint Dispatch & HRP timekeeping system (post manager approvals)
- Double-check payroll for accuracy in time and pay rates before submission.
- Process Gulf of Mexico and government contract payroll weekly.
- Handle lost check procedures: verify with bank, initiate stop payment, reissue after 30 days.
- Ensure garnishment deductions are applied correctly to payroll cards and in the system of record.
- Record uniform and transportation invoices for employee deductions.
- Reconcile benefit deductions; coordinate with Human Resources for updates.
- Reconcile deductions and liabilities for terminated employees.
- Transfer deductions and garnishment data to new year payroll cards annually.
- Adjust worker’s comp codes based on job location via alert system.
- Complete Filipino payroll imports and monthly calculations; cross-check with Payroll Manager.
- Track exempt filing status for employees in system of record, with the controller, and verify with Human Resources
- Answer employee questions about payroll, benefits, and vacation.
- Provide payroll information to Human Resources upon request for employee payroll investigations
- Maintain organized payroll files.
- Assist with payroll audits and reporting as needed
- Support Accounting Department needs for time sheet questions during billing
Qualifications:
- High school diploma or equivalent
- 1-2 years of experience in payroll or general accounting
- Familiarity with Great Plains Dynamics payroll software and Microsoft Office Suite with strong Excel skills
- Strong attention to detail with numerical and data entry skills
- Excellent organizational and time management abilities
- Discretion and integrity when handling sensitive information
