Key Responsibilities:

Executive Support:

  • Manage and maintain the Executive Director’s calendar, appointments, and travel arrangements.
  • Serve as a liaison between the Executive Director/CEO and internal staff, board members, government agencies, and community stakeholders.
  • Prioritize and respond to incoming communication on behalf of the Executive Director/CEO


Board and Governance Support:

  • Prepare and compile monthly Board of Commissioners meeting packets and ensure timely distribution.
  • Attend all Board meetings and draft, revise, and finalize accurate and comprehensive meeting minutes.
  • Track follow-up items and ensure timely responses to board directives and inquiries.


Administrative Duties:

  • Draft, proofread, and edit correspondence, reports, presentations, and other materials.
  • Handle confidential and time-sensitive materials with discretion and professionalism.
  • Manage office records and ensure digital and paper filing systems are organized and accessible.
  • Monitor and order office supplies; work with vendors to secure the best pricing and terms.


Project Support:

  • Conduct background research and compile data to support the Executive
  • Director’s decision-making.
  • Assist with the coordination of special initiatives, public events, and interdepartmental projects.


Qualifications:

Minimum Qualifications:

  • Bachelor’s Degree required with a preferred concentration in English, Communication, Business Administration.
  • Minimum of 3 years of experience providing executive-level support, preferably in public administration, nonprofit, or housing authority environments.
  • Exceptional verbal and written communication skills.
  • High proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook),
  • Adobe Acrobat, and virtual conferencing platforms (e.g., Zoom, Teams).
  • Strong organizational skills and ability to prioritize competing deadlines in a dynamic setting.
  • Proven ability to handle confidential and sensitive information with integrity.


Preferred Qualifications:

  • Prior experience working with a Public Housing Authority, government agency, or nonprofit organization.
  • Knowledge of HUD regulations, PHA governance structure, and affordable housing programs.
  • Project management certification (e.g., PMP) or equivalent experience.
