Donor Relations & Philanthropic Services:

  • Provide excellent client support and frontline services to fund holders, donors and community partners, including technology support, special requests, and individualized donor reporting.
  • Support the Donor Engagement and Stewardship strategies and work of the Foundation: respond to donor inquiries, prepare informational and meeting packets, develop and maintain accurate donor information management processes and systems to ensure accuracy and integrity tracking goals and next steps.
  • Research, compile data and create annual impact reports for fundholders.
  • Manage donorservices@cfacadiana.org email and forward accordingly to appropriate team members.
  • Provide administrative support for the Philanthropy Team in identifying and drafting giving opportunities that align with donor interests.
  • Assist the VP of Philanthropy in development and implementation of donor education and engagement events, briefings, and tools, including identifying and booking locations, developing targeted invite lists, and providing logistical support.
  •  Assist the VP of Philanthropy and CEO in organizing and managing the Foundation’s portfolio of Agency and Field of Interest Funds (i.e. coordinating annual meetings, taking meeting minutes, updating advisors, answering questions related to funds, etc.).
  • Draft communications on behalf of the VP of Philanthropy and Philanthropy Team, including letters, emails, and memos for internal and external audiences.
  • Support donor communications functions of the foundation by generating mailing lists, creating mail merges, and assisting with timely and accurate mailings.
  • Assist with planning, coordination, and execution of special fundholder and donor events, as member of the Philanthropy Team.


Grants & Scholarships:

  • Management of CFA’s donor recommended grantmaking activities including, but not limited to: supporting fundholders in submitting grant recommendations requests via the donor portal, email or phone; managing the entire grant recommendation requests process for any one-time, passive, recurring and automatic grants on a weekly basis; conducting grantee due-diligence and reviewing approvals; and preparing and distributing of grant award letters and subsequent donor correspondence.
  • Become proficient in CFA’s processes and systems to manage scholarships, due diligence for funds and grants, and affiliate grantmaking to support the Philanthropy Team’s activities as needed.
  • Create, review and maintain related software processes & standard operating procedures.


Development Support:

  • Support the Donor Cultivation strategies and work of the Foundation by assisting with scheduling, research, preparation and follow up for meetings with professional advisors, prospective donors, and community organizations.
  • Support the VP of Philanthropy and CEO in scheduling and preparing for donor meetings and new fundholder orientations; support the design and implementation of donor site visits and nonprofit recommendations.
  • Manage and steward the new funds process, including managing the new fund checklist, establishment of new funds in the fund management system, distribution of donor portal credentials, and assisting in conducting fund file audits.
  • Manage the donor portal system; train, troubleshoot and support new and existing donors; work with software vendor on issues and functionality as needed.
  • Achieve proficiency in CRM software with ability to manage digital profiles of donors and grantees, record donor communications, coordinate donor management, and design and pull reports for Board and committees.
  • Support the Vice President of Philanthropy with travel arrangements, meeting scheduling and logistics, including ordering catering, preparing agendas, and taking minutes.
  • Create, review and maintain related software processes & standard operating procedures.
  • Work on special projects or tasks assigned by the VP of Philanthropy.

Salary Range: $45,000-$50,000

  • Ability to work occasional weekends and after hours.
  • Demonstrated administrative and customer service experience of 3-5 years.
  • Technologically savvy: Must demonstrate high proficiency with Microsoft Office programs including
  • Word, Excel, PowerPoint Publisher; Experience with databases and CRM software programs a plus.
  • Working knowledge of, or willingness to learn about, community foundations and charitable giving
  • options and strategies.
