Position Summary: The Admissions Appointment Coordinator is responsible for scheduling appointments for admissions representatives to meet with prospective students. This role involves making and receiving phone calls, emails, and texts to coordinate and confirm appointments.
Job Description:
- Appointment Scheduling:
- Schedule appointments for admissions representatives to meet with prospective students.
- Utilize phone calls, emails, texts, and other communication methods to coordinate and confirm appointments.
- Maintain an organized schedule and calendar for admissions representatives.
- Communication:
- Make outbound calls to prospective students to schedule appointments and provide information about Unitech Training Academy.
- Receive inbound calls, emails, and texts from prospective students and respond promptly.
- Ensure clear and effective communication with prospective students and admissions representatives.
- Script and Process Implementation:
- Learn and utilize conversational guidelines to ensure consistent and effective communication with prospective students.
- Follow-Up:
- Follow up with prospective students to confirm appointments and provide any necessary reminders.
- Reschedule appointments as needed and update the admissions representatives' calendars accordingly.
- Track communication and follow-up activities in a database or CRM system.
- Collaboration:
- Work closely with admissions representatives to understand their schedules and availability.
- Coordinate with other departments to ensure a smooth admissions process.
- Attend occasional in-office meetings and training sessions to stay updated on policies and procedures.
- Data Management:
- Maintain accurate and up-to-date records of scheduled appointments and communication with prospective students.
- Generate reports on appointment scheduling activities and outcomes.
- Ensure compliance with privacy and data protection policies.
- Customer Service:
- Provide excellent customer service to prospective students and their families.
- Address inquiries and concerns promptly and professionally.
- Foster a positive and welcoming experience for all prospective students.
- Team Collaboration:
- Collaborate with other members of the admissions team and campus staff to coordinate around recruitment events and support overall enrollment efforts.
- Training and Development:
- Stay informed about industry trends, best practices, and regulatory requirements related to admissions and participate in ongoing training and professional development opportunities.
- Ethics and Integrity:
- Uphold the highest standards of ethics and integrity in all interactions with prospective students, colleagues, and other stakeholders, ensuring compliance with Unitech Training Academy's policies and procedures, as well as relevant regulatory requirements.
Salary Range: 19.00-20.00
Qualifications:
Qualifications:
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- Minimum of 2 years of experience in customer service, call center, administrative support, or a related role.
- Excellent communication skills, both written and verbal.
- Strong organizational and time-management skills.
- Proficiency in using phone systems, email, and text messaging.
- Experience with scheduling software, databases, or CRM systems preferred.
- Ability to work independently in a remote setting and attend in-office meetings.
- Attention to detail and a commitment to maintaining accuracy and confidentiality.
- Strong interpersonal skills and a customer-focused mindset.
- Capable of handling multiple tasks and managing time effectively in a fast-paced environment.
- Ability to efficiently manage high call volume while maintaining exceptional customer service standards
