Position Summary:
- The Administrative Assistant for the Office of Building & Renovations performs a wide range of administrative and office support activities to facilitate the efficient operation of the office.
- The person in this position is expected to provide skilled assistance in day-to-day office operations as well as in researching, reviewing, updating and preparing certain documents related to construction and property transactions and corporate filings, with complete confidentiality.
- The person in this position must be a team player who shares and participates in the vision and goals of the Bishop and of the Diocese, while following all diocesan and office policies, procedures and regulations.

- Lafayette Central Office
Essential Duties and Responsibilities:
- Administer the collection of documentation necessary to satisfy large- and small-scale building checklist requirements and the completion of corporate resolutions for entering into associated professional and construction contracts as well as for the acquisition and alienation of real property
- Research, analyze and review documents regarding corporate matters, property transactions, restricted donations and other acts of extraordinary administration and special projects
- Create for signature, letters granting permission and approval for acts of extraordinary administration
- Review, update and file corporate articles, documents, and annual reports and Corporate
- Officers and Directors with the Secretary of State for all diocesan entities
- Prepare notice, attend, record and prepare minutes for annual meetings of the Diocese and corporations acting under the auspices of the Diocese of Lafayette.
- Assist parishes and schools to resolve inquiries related to local property issues and related diocesan policies.
- Provides administrative duties:
- Compose, prepare and distribute correspondence, reports and other documents independently, and as instructed by the Coordinator.
- Coordinate scheduling of and preparation for office-related appointments, meetings, workshops and conference calls, including travel arrangements when necessary.
- Attend to the daily operations of the office including timely opening and secure closing; maintaining office equipment and supplies; answering and directing phone calls; and greeting visitors.
- Serve as Recording Secretary to the Diocesan Building Review Board.
- Generate and maintain routine communications, reports and drafts (hard-copy and electronic) as well as office-related forms, documents and publications.
- Maintain accurate and efficient filing system (hard-copy and electronic).
- Perform other duties as necessary and/or directed.
Qualifications:
Required Knowledge, Skills, and Abilities:
- Maintain absolute confidentiality.
- Practicing Catholic with knowledge of the Church’s organization and manner in which it functions.
- High School diploma or equivalent required; higher education and/or certification preferred.
- Three (3) to five (5) years related work experience; experience in legal office preferred.
- Accurate computer skills and intermediate knowledge of Microsoft Office programs.
- Ability to communicate clearly and interact professionally with all persons in contact with the office, including but not limited to clergy, religious, principals, administrators, central office personnel, and secular and legal professionals.
- Ability to communicate technical legal matters in everyday language.
- Ability to compose and write in proper format, punctuation, spelling, and grammar as well as proficient typing and excellent proofreading skills.
- Maintain up-to-date personal certification for diocesan Safe Environment program.
- Self-motivated, prompt in performing tasks and capable of working independently.
- Good organization skills as well as the ability to multi-task. Must be able to prioritize.
- Ability to deal sensitively, courteously and responsively (via telephone, electronic communications, or in person) when responding to inquiries and in making referrals
Job Conditions/Physical Demands:
- While performing the duties of this job, employee is required to sit, stand, kneel, bend, walk, talk, hear, grasp, reach, and perform repetitive motions of the fingers, hands, wrists, and feet.
- Specific seeing abilities include close vision, depth perception, and ability to adjust focus.
- Must be able to push, pull, lift, and carry items up to 20 pounds.
- Work is performed in an office setting.
- Occasional travel inside the Diocese that may require the use of personal vehicle, and therefore, proof of proper automobile insurance is necessary and a valid driver’s license.
- May be called upon to work beyond the regular work schedule.
