The primary function is to support the CEO and provide dedicated support for any and all of their needs
Support the CEO in an executive and personal capacity with a heavy emphasis on the calendar, social, and travel management
Act as a gatekeeper to the CEO by fielding incoming phone calls, directing calls, and taking messages
Provides a proactive calendar and contact management with exceptional follow-through for seamless integration of business and personal appointments
Handles regular activities without prompting and reminds CEO of upcoming appointments, conflicts, deadlines, and follows up on outstanding items
Allocates CEO expenses for the accounting department to process
Reservation and travel management - booking flight, hotel, rental car, and meal reservations for CEO and any colleagues; providing support while traveling
Maintains and prioritizes daily action items for personal follow up and management
Determines when to act for the CEO and when to refer problems for personal attention. Handles details of a highly confidential and critical nature including a budget, forecasts, etc.
Uses initiative to prepare responses and to assemble background information from many sources. Follows up to ensure that proper and timely action is taken
May involve preparing high-quality, executive-level PowerPoint presentations, Word documents, and/or Excel spreadsheets
Assist with coordinating team events (planning, logistics, attendee confirmations, etc.) as requested. Monitors event spend to budget if required/requested. Manages event requests, invoices, and related paperwork as necessary.
Deliver results, as opposed to busy work. This means keeping track of and following up on assigned items not yet completed to see that they move forward

Schedule: Full-time, 5 days per week, typically 40 hours/week but will have busier weeks that reach 45+. Must be available occasionally during evenings and weekends for events or emergencies.
