The Executive Assistant is responsible for administrative support tasks for the President & CEO and Member & Investor Relations Team. The position includes a broad range of responsibilities involving compiling reports, furnishing information, scheduling meetings, preparing agendas and responding to routine correspondence, and oversight of specific administrative duties. The candidate should demonstrate strong attention to detail, provide independent leadership over administrative functions, and have the ability and initiative to seek innovative, effective solutions. This role follows the direction set by the President & CEO. 


Responsibilities:

Provide administrative support to the President & CEO, Executive Committee, and Board of Directors Willingness to obtain a working knowledge of the organization, community, and government activities Managing the planning of, preparation for, and execution of One Acadiana Board and Executive Committee meetings, in partnership with staff Coordinate travel and guest arrangements Run various errands on an as-needed basis Process expense reports and reconciles credit card reports for President & CEO Coordinate and schedule all meetings for President & CEO, Executive Committee, Board of Directors, and other committee meetings Manage the President & CEO’s calendar to ensure there is the appropriate travel time between meetings and scheduling conflicts are avoided Email upcoming meeting reminders to all attendees and track RSVPs Maintain electronic file of the board and executive committee documents Prepare all meeting materials and set up board room layout Take meeting minutes and transcribe them in a timely manner Order/pick up food and prepare coffee for specific events Promote and maintain the confidentiality of company records Supporting the onboarding/retention/renewal process for members Assist with planning and executing 1A Ambassador events Assisting and maintaining the integrity of the member and investor contact database Managing the planning of, preparation for, and execution of One Acadiana Board and Executive Committee meetings, in partnership with staff Assist with execution and logistics of events Assist various team members with projects/inquiries as needed Other tasks as assigned by management Other Business Processes Provides targeted support for general One Acadiana operations during periods of high urgency Provide talent tours to prospective candidates, spouses, and recruiters of One Acadiana investor companies


Qualifications:

  • Bachelor’s degree is preferred
  • 1-2 years clerical experience preferred
  • Excellent organization, planning, and time management skills
  • Strong attention to detail, especially in maintaining accurate records and contact information
  • Strong written and verbal communication skills
  • Positive personality
  • Multi-tasking a must
  • Knowledge and experience in various office software applications such as Microsoft Word, Excel, PowerPoint, Outlook, and Adobe
  • Knowledge and experience in Salesforce is preferred
  • Possesses conflict resolution skills
  • Self-directed with the ability to meet deadlines with quality work
  • Ability to maintain effective working relationships with a wide variety of members, volunteers, board members, the general public, and government officials
