Position: Customer Service Support

Job Description:

Order Management Specialist has the responsibility to manage customer orders, all the activities supporting orders and related tasks on a daily basis. They are the key link in communication with our customers for order/inventory questions, and with our manufacturing facilities for orders they need to schedule and produce. The individual works closely with our customer service team and our operations team to ensure that every order is processed, confirmed and delivered on time.


Duties and Day-to-Day Responsibilities include, but are not limited to the following:
• Enter, process and route all incoming orders – EDI, web portal based, e-mail, fax
• Review, evaluate, update and confirm pricing
• Understand each facilities manufacturing capabilities in order to route orders appropriately
• Answers all incoming calls in a professional and friendly manner
• Facilitate the setup of new customers, and new items being ordered into the MRP system
• Assists in completing and submitting customer order confirmations
• Review and analyze the daily sales order report
• Assist in sending tracking for orders once they are shipped
• Send documentation (i.e. shipping paper work, COA, BOL) to the customer when requested.
• Checks EDI portals and submits orders/revisions, while confirming pricing and weight discrepancies.
• Filing and other clerical duties as necessary

Minimum Training, Education and Experience Requirements:
• Bachelor’s degree or 3-5 years of professional customer service experience.
• Be able to operate under pressure in order to meet tight deadlines.
• Proficiency in Microsoft Excel, Word and Outlook.
• Data entry or highly proficient computer skills
• Basic knowledge of accounting principles
• Polite and professional grammar
• Excellent, open and honest communication skills.
• Necessary characteristics include: being a self-starter; goal-oriented; high attention to detail; team-first attitude; ability to have positive interactions with other professionals without being critical; and ability to multi-task.

Work Environment:
• This is a full-time position. Days and hours of work are Monday through Friday, 8 a.m. to 5 p.m.
• Office environment, which is largely a sedentary role; however, some filing is required. This would require the ability to lift files/boxes, open filing cabinets and bend or stand as necessary.
• Ability to manage a fast-paced operation that can run 24/7 and that includes a dedicated group of Quality minded professionals
